๐Ÿ“จ Sharing Your Course

Sharing and access for your course is managed under Invite Management. To access Invite Management, navigate to the course you wish to share, and select Invite.

โš ๏ธ Facilitators Only: The tools described in this article are only available to facilitator-level users. Learners will not see these options.

๐Ÿ‘ฉโ€๐ŸŽ“ Learner Access

Learner invitations are managed through Learner Access. Genius Academy does not directly invite learners. Facilitators are responsible for sharing the course join information with learners.

In Learner Access, youโ€™ll find:

  • Your course code

  • Clear, copy-ready instructions learners can follow to join your course

This is not a direct invite system. Learners will only see this information if you share it with them via email, LMS, or other communication channel.

โœ… How to Invite Learners

  1. Navigate to the course you want learners to join.

  2. Click Invite.

  3. Select Learner Access.

  4. Review the copyable invite message, which includes:

    • Your course code

    • Instructions for how learners should join

  5. Copy the message.

  6. Paste and send it through your usual channels, such as:

    • Your LMS (e.g., Canvas, Blackboard, etc.)

    • Email

    • Messaging tools your institution uses


๐Ÿ‘ฉโ€๐Ÿซ Facilitator Access

Facilitator Access lets you invite trusted colleagues who should have facilitator-level permissions in your course.

These may include:

  • Teaching assistants (TAs)

  • Co-instructors or co-facilitators

  • Program directors or coordinators

  • Institutional partners who need visibility into learner performance

โš ๏ธ Use with care: Facilitators gain access to sensitive learner data and powerful tools. Only invite people who should truly have this level of access.

๐ŸŽ› What Facilitators Can Do

When you invite someone as a facilitator, they may receive:

  • Full view of learner submissions and results

  • Access to extended lesson scaffolding / alignment information

  • The ability to edit the course (including using the Edit Course tools)

โœ… How to Invite Facilitators

  1. Navigate to the course you want to share.

  2. Click Invite.

  3. Select Facilitator Access.

  4. Enter the email address and name of the facilitator you want to invite.

  5. Click Add Facilitator.

  6. Review the list of existing facilitators to confirm who already has access.

๐Ÿ“Œ Requirement for Facilitators

Facilitator invitations have a few important rules:

  • You can invite an email address that:

    • Does not yet have a Genius Academy account, or

    • Already belongs to a facilitator user.

  • You cannot invite an email that is already associated with a learner account and automatically convert them to a facilitator.

    • If you try, youโ€™ll see an error message.

    • If that person truly needs facilitator access, contact [email protected] for help adjusting their role.

๐Ÿ“Š Viewing Current Facilitators

Within Facilitator Access, you can view who currently has facilitator-level access to the course.

  • Use this list to regularly monitor who has access.

  • Make sure there are no inappropriate or unintended parties with facilitator permissions, as this can expose learner data.

๐Ÿ”’ Limits, Removal, and Support

  • There is a maximum of 5 facilitators per course.

  • Facilitators cannot remove other facilitators directly.

  • If you:

    • Need to remove a facilitator,

    • Need to add more than 5 facilitators, or

    • Need help managing existing facilitator access, please contact your Genius Academy admin or email [email protected].

Genius admins always have the ability to help you with course editing and invite management.


๐Ÿ” Security & Privacy Best Practices

Because facilitators can see learner data and adjust course settings, itโ€™s important to:

  • Only invite people who truly require facilitator-level access.

  • Regularly review the list of facilitators in your course.

  • Coordinate within your team to ensure everyone understands who should and should not be a facilitator.

By thoughtfully managing Learner Access and Facilitator Access, youโ€™ll keep your course secure while making it easy for the right people to participate.
